Main purpose of role:

To ensure the efficient day to day co-ordination and delivery of the Engage programme at Salisbury NHS Foundation Trust (SFT). Assist in the development and expansion of the Engage programme.

Duties and responsibilities:

  • Provide support to volunteers attending shifts at the hospital
  • Manage enquiries from volunteers, staff and the general public regarding Engage enquiries
  • Maintain the Patient Referral list to ensure volunteer updates/feedback are communicated and responded to
  • Organise volunteer teaching and supervision sessions
  • Provide volunteers with updates on news updates/teaching sessions/supervision
  • Maintaining the volunteer register; keeping track of active/inactive volunteers, holidays etc.
  • Recruitment of volunteers; including interviews and inductions
  • Meet with the Engage Co-ordinator and Head of Department to discuss development of programme

Detailed description of responsibilities:

Daily basis:

  • Check e-mails from volunteers regarding queries/shifts etc.
  • Monitor the Engage email address and respond to queries
  • Check in with volunteers and provide support where required
  • Check ‘communication book’ for volunteer updates/information

Weekly Basis

  • Attend weekly team meeting; update on engage matters
  • Keep volunteers updated with current news
  • Update Patient Referrals and Wards Visited lists
  • Manage petty cash and reimburse volunteer expenses
  • Maintain register of volunteers present; check with volunteers that have not been present
  • Ongoing recruitment of volunteers; arranging interviews, inductions
  • Keep register of all volunteers and check who has been in that week- if no reason why volunteer hasn’t been in then check up on them
  • Ensure Engage office is kept clean and noticeboards updated

Monthly Basis

  • Meet with Nigel for supervision to discuss project
  • Identify volunteers waiting to start; check flow of recruitment process
  • Record names of volunteers who attended training/supervision

Other duties

  • Maintenance/development of Engage website
  • Ensure email contact lists are up to date
  • Ensure volunteer spreadsheet is up to date
  • Update Engage photo board
